The client — a mid-sized international company with over 400 employees — needed a centralized internal platform for HR operations. Their team had outgrown spreadsheets, shared folders, and fragmented tools. The goal was to build a secure and structured system for handling leave requests, employee records, onboarding checklists, and internal approvals.
We began the project with an in-depth interview phase involving HR managers, team leads, and IT coordinators. This helped us map out real workflows and understand the internal logic behind processes like hiring, evaluations, and time-off tracking. The client emphasized three core priorities: ease of use for non-technical staff, clear access levels, and full data privacy.
The architecture was planned with modularity in mind. We developed an employee dashboard, leave and attendance management tools, a digital HR document center, and customizable approval chains. Each module was built to be independent, allowing future updates without breaking the system. A simple notifications system and calendar integration helped unify all processes in one interface.
From a technical standpoint, the back end was built with Django for flexibility and admin control, while the front end used Vue.js for responsive, snappy interactions. Role-based access control was implemented to manage permissions across HR, team leads, and general staff. All sensitive data was encrypted, and the platform was deployed on the client’s private cloud infrastructure.
One of the key challenges was migration of legacy data — including Excel files, PDF records, and outdated systems. We developed a custom import pipeline to clean and normalize historical records and ensure consistency going forward. This significantly reduced the risk of data loss or duplication during the transition.
After internal launch, the platform replaced six separate tools previously used by HR and managers. Time-to-onboard for new employees dropped by 40%, and HR response time to common requests became twice as fast. The client’s leadership team also gained better visibility into staffing trends through integrated reporting. The project concluded with full documentation and training for HR staff. We remain involved under a long-term support agreement, providing updates, troubleshooting, and planning next-phase features such as performance review workflows and employee self-service modules.
